LegalPAIA Manual
Manual in terms of section 51 of the Promotion of Access to Information Act 2 of 2000. Last updated: 2026.
The Promotion of Access to Information Act gives you the right to ask for records held by a private body where you need them to exercise or protect a right. This manual sets out what records we hold and how to ask for them.
1. Particulars of the private body
| Name | Zays Woodworks & Maintenance (Pty) Ltd |
|---|---|

| Head of the body | The directors, Sulaimaan Sedick and Zain Nezar |
| Information Officer | Contactable at info@zayswoodworks.co.za |

2. The Information Regulator’s guide
Section 10 of the Act requires the Information Regulator to publish a guide on how to use the Act. It explains your rights, how to lodge a request and how to complain, in plain language.
That guide, the prescribed forms and the Regulator’s current contact details are published at inforegulator.org.za. General enquiries may be sent to inforeg@inforegulator.org.za.
3. Records available without a formal request
Some information is published and needs no PAIA request at all. You can take it from this website or simply ask us:
- Our services, contact details and areas of operation.
- Our Terms & Conditions, Privacy Policy and Cookie Policy.
- Your own quote, invoice and job correspondence — ask us for a copy.
No notice has been published under section 52(2) of the Act.
4. Records held under other legislation
We keep records because other laws require it. Where a statute below applies to us, we keep the records it requires. Listing them here does not mean they are automatically available to the public.
- Companies Act 71 of 2008
- Income Tax Act 58 of 1962 and Value-Added Tax Act 89 of 1991
- Tax Administration Act 28 of 2011
- Basic Conditions of Employment Act 75 of 1997 and Labour Relations Act 66 of 1995
- Compensation for Occupational Injuries and Diseases Act 130 of 1993
- Unemployment Insurance Act 63 of 2001
- Occupational Health and Safety Act 85 of 1993
- Consumer Protection Act 68 of 2008
- Protection of Personal Information Act 4 of 2013
5. Categories of records we hold
| Subject | Categories of record |
|---|---|
| Company | Registration documents, statutory records, insurance policies, licences |
| Financial | Quotes, invoices, receipts, bank records, annual financial statements, tax returns |
| Customers | Names and contact details, site measurements, job specifications, photographs of work, correspondence including WhatsApp messages |
| Suppliers | Supplier details, purchase orders, delivery notes, material invoices |
| Employees | Employment contracts, payroll records and leave records, where staff are employed |
| Operational | Job schedules, site notes, health and safety records |
6. How to request a record
- Complete the prescribed request form for a private body (Form C under the PAIA Regulations), available from inforegulator.org.za.
- Send it to the Information Officer at the address in section 1, or by email to info@zayswoodworks.co.za.
- Give enough detail for us to identify the record, and tell us which right you are seeking to exercise or protect and how the record will help you do it. The Act requires this — a request that does not explain the right will be refused.
- Tell us how you would like to receive the record, and in which language.
- If you are asking on behalf of someone else, include proof that you are entitled to do so.
We will decide within 30 days of receiving a properly completed request and will tell you in writing. That period may be extended in the circumstances the Act allows, and we will tell you if it is.
7. Fees
The Act allows a private body to charge a request fee and an access fee, both set by regulation. We charge no more than the prescribed amounts, and we will tell you what is payable before doing the work.
No fee is charged for a request for your own personal information.
8. Grounds on which we may refuse
The Act sets out the grounds on which access must or may be refused. The ones most likely to apply to us are:
- Protection of another person’s privacy.
- Protection of the commercial information of a third party, including trade secrets and confidential supplier pricing.
- Protection of information held under a duty of confidence.
- Protection of a person’s safety, or of property.
- Records that are legally privileged.
- Protection of our own commercial information.
If we refuse, we will tell you in writing which ground we rely on and why.
9. If you are unhappy with our decision
There is no internal appeal against the decision of a private body. If you are not satisfied you may lodge a complaint with the Information Regulator, or apply to a court within 180 days, as set out in section 78 of the Act. How to complain is explained on the Regulator’s website.
10. Your personal information
If you want to see, correct or delete personal information we hold about you, you do not need a PAIA request — write to info@zayswoodworks.co.za, and read our Privacy Policy, which explains what we hold and why. Formal requests under POPIA use the forms prescribed under that Act, also available from the Regulator.
11. Availability of this manual
This manual is available on this website, at our premises during business hours, and by email on request. It is free of charge.
12. Updating
We review this manual whenever our details or the records we keep change, and at least once a year. The date at the top of the page shows when it was last updated.
